What permits and records stay with each building?
Permits and plan review are handled building by building. City requirements and manufacturer rules can differ between properties. Structural, attachment and fire-rating review follows the roof system proposed for that specific building. California's Title 24 energy rules depend on the actual scope of work and which compliance path applies. A portfolio program does not replace that per-building review.
Warranties are tracked the same way. Each one keeps its own terms and installation details, and one building's warranty says nothing about another roof's coverage or what it takes to modify it. We keep the required maintenance records and warranty claims with the roof they belong to, and check those records before anyone adds equipment or cuts into the roof.
Proposed scopes, owner approvals and completed work stay clearly separated. If an engineering or equipment approval is still pending, the program shows it instead of marking the task done.
Prep work, installed products and finished details are recorded by building and by location on the roof. Change orders stay attached to the job they changed. At closeout you get a clear picture of what was finished, what couldn't be reached and what still needs another trade.
Each later inspection is dated and compared with past repairs and any work done since. We update the condition and next step without erasing the original finding. A new property manager can pick up the program and follow each roof from first inspection through approval and installation, with current site contacts and open decisions still in view.
