How should a chain organize roofing records?
Maintain one record per store with roof system, drains, equipment, past leaks, repairs, warranty information, access method, and open items. Distinguish leased premises from company-owned buildings and verify who controls the roof. A logo or brand standard does not establish the membrane type or repair history at a specific store.
Where locations operate under different landlords, record the party responsible for roof access, capital approval, and tenant notices. Save the lease or property contact that confirms the chain’s role, but do not assume one lease term applies to every site. A facilities coordinator can use a central list of contacts while keeping each store’s approvals attached to its own work file.
A roof assessment should identify the building, roof zone, inspection date, and areas not reached. Use comparable fields in a portfolio dashboard, but tie each rating to actual Diligence Notes. If a store recently changed kitchen equipment or signage, add that work to the roof record and review any new penetration.
